Full-Time Personal Assistant to Luxury Travel Advisor & Family

Location: Nashville, TN with a mix of in-person and occasional remote work (business side only)

Schedule: Monday–Friday, 8:00 AM – 4:00 PM

Type: Independent Contractor (1099)

Start Date: July 2025

We are looking for a warm, highly organized, and trustworthy Full-Time Personal Assistant to support both a growing luxury travel business and a busy home life. This hybrid role is ideal for someone who thrives on variety, enjoys caring for children, and takes pride in managing the details that keep both work and home running smoothly. The role is split between professional responsibilities (approx. 50%) and personal/family support (approx. 50%) , including consistent care for a 10-month-old boy.

Key Responsibilities

Luxury Travel Business Support (~50%)

• Draft and manage pre-arrival emails and confirmations with clients and hotel partners
• Confirm travel logistics such as flights, dining, spa appointments, and activities
• Assist in building professional itinerary proposals using templates and supplier materials
• Maintain backend systems including Asana, Mailchimp, and client CRM
• Create and manage light content calendars for: Instagram (1–2 posts per week) and Email marketing (1 newsletter per month)
• Act as the main point of contact for clients and suppliers when I’m traveling
• Support with additional administrative tasks as needed

Family & Childcare Support (~50%)

• Provide daily care for our 10-month-old baby on non-daycare days (enrolled 2 days/week starting August 2025, increasing to 4 days/week by the Fall). Includes feeding, bottle prep, naps, diapering, playtime, and developmental activities
• Occasional daycare drop-off or pickup as needed
• Light household responsibilities related to the baby. Cleaning bottles and feeding items, baby laundry, and tidying play areas
• Weekly menu planning and meal prep. Generating grocery lists and light meal prep
• Occasional errand running. Post office drop-offs, package returns, or light local errands
• If interested, occasional availability for evening or weekend babysitting (e.g., date nights)

Ideal Candidate

• Exceptionally organized and detail-oriented – thrives on checklists and follow-through
• Warm, nurturing, and confident with infants – enjoys caring for and engaging with babies
• Discreet and professional – able to manage confidential client and family information with care
• Flexible and adaptable – comfortable switching between childcare and administrative tasks
• Tech-savvy – experience in Google Suite, Asana, Mailchimp, Instagram, Canva a plus
• Experience in childcare and/or personal assistance preferred
• Excellent verbal and written communication skills, in English.
• Must have own computer, smartphone and reliable wi-fi access
