We’re looking for a sharp, proactive, and highly organized Executive Assistant to join our team. This role blends executive support, team coordination, project management, and hands-on logistics—all rolled into one. You will predominantly support the President/Owner (Tom). You’ll manage communication, keep the inbox under control, take meeting notes, coordinate schedules, and help organize our company’s work systems.

This is a full-time role, and we need someone local to the Greenville area - someone who can run to the mailbox, drop off a package, or meet weekly in-person. If you’re the kind of person who thrives on making things run smoothly, loves juggling a mix of projects, and finds satisfaction in keeping things from slipping through the cracks, this position is for you.

We provide the hardware you need to be successful, and nothing on this list is required upfront. We’ll go over everything together and make sure you’re fully equipped and trained starting day one.

What You’ll Be Doing

Executive & Team Support

  • Be the voice and inbox for Tom—manage emails, social media, and all communication on his behalf.
  • Coordinate meetings and calls on Tom’s calendar (both professional and personal) and resolve any scheduling conflicts.
  • Take notes during meetings, document decisions, assign next actions and communicate updates with the team.
  • Perform clerical and administrative tasks including preparing reports, researching ideas, and managing company documents.
  • Order and send gifts for team, partners, and customers.
  • Handle mail, deposit checks, ship packages, and keep our PO box and mailbox in order.

Company Organization

  • Own & organize our project management system (Asana) - track statuses, follow up on tasks, and keep everything moving.
  • Gather project status updates from department managers and inform Tom of these updates.
  • Build and maintain our internal knowledge base—document processes, SOPs, decisions, and team tools. Continue to learn our business processes and act as backup for routine tasks.
  • Keep both our digital files and project information organized on our network.
  • Help with order fulfillment and logistics for public training events.
  • Prepare company financial reports, and occasional account administration.

Departmental Assistance

  • Track and report marketing metrics and assist with communicating to our audience via website & social media.
  • Manage legal projects with our attorney—track communication, deadlines, and deliverables.
  • Assist with partner relationships - send updates, manage next steps, coordinate meetings and manage all communication.
  • Assist other departments in growth initiatives based on your strengths, interests, and availability.

  • Adaptable: You can juggle legal docs, project tasks, incoming emails, and running routine errands.
  • Proactive Communicator: You follow up before anyone needs to remind you or things slip through the cracks. You have excellent verbal and written communication skills.
  • Process-Oriented: You like building systems & documentation & creating order.
  • Experienced: 2+ years assisting an executive, business owner, or similar role. Must have knowledge of Microsoft Office products.

Bonus Points If You…

  • Are familiar with project management tools like Asana and have experience managing projects.
  • Have experience in marketing – social media, email, and general sales communication – Hubspot experience is a huge plus.
  • Have a college degree -or- background in business admin, operations, or another related field. We care more about  how you work than  where you studied.

Additional Info:

  • Contractor (W9) with opportunity for permanent hire within first 6-months
  • Pay: $20 - $25/Hr
  • Location: Primarily remote, but must be located in Greenville, SC (While most work is from home, this role requires regular in-person meetings and local errands in the Greenville, SC area.)
  • Hours: Monday to Friday, 40-hour/week
