Position Summary

The Dental Insurance & Billing Coordinator plays a key role in ensuring the financial health of the practice by managing patient insurance claims, verifying benefits, posting payments, and overseeing accurate billing processes. This individual serves as the primary point of contact for patients regarding insurance and billing matters, and works closely with the clinical and administrative teams to ensure smooth operations.

Key Responsibilities

  • Insurance Verification & Processing

    • Verify patient insurance coverage, eligibility, and benefits before appointments.

    • Submit and track insurance claims promptly and accurately.

    • Review and appeal denied or rejected claims as necessary.

  • Billing & Collections

    • Prepare and send patient statements in a timely manner.

    • Collect co-payments, deductibles, and balances at time of service.

    • Manage accounts receivable, follow up on overdue accounts, and maintain low aging reports.

  • Payment Posting & Reconciliation

    • Post insurance and patient payments into practice management software.

    • Reconcile daily deposits and end-of-day reports.

    • Ensure accurate adjustments and account notes.

  • Patient Support & Communication

    • Provide patients with clear explanations of insurance benefits, billing statements, and financial responsibilities.

    • Respond promptly to patient inquiries regarding balances, claims, or payment options.

  • Compliance & Accuracy

    • Ensure compliance with HIPAA and all federal/state billing regulations.

    • Maintain accuracy and confidentiality of patient financial records.

    • Work collaboratively with front desk and clinical staff to ensure treatment plans reflect accurate billing.

 

Qualifications

  • Previous experience in dental billing and insurance coordination (minimum 2 years preferred).

  • Strong knowledge of dental terminology, CDT codes, and insurance guidelines .

  • Proficiency in dental practice management software (Dentrix, Eaglesoft, Open Dental, or similar).

  • Excellent attention to detail and organizational skills.

  • Strong communication skills with the ability to explain financial matters clearly to patients.

  • Ability to work independently while contributing to a team-oriented environment.
