Job Description

Position Overview : Project New Village seeks an Administrative Grant Manager to oversee and coordinate accounting operations, working closely with our contract bookkeeper and Fractional CFO. This role includes fiscal administration, grants accounting, and compliance to ensure the organization's financial health and legal adherence. Key Responsibilities : Maintain accurate financial records in hard copy and electronic forms. Track and categorize monthly expenditures by funding source; report deviations over 10% to the Managing Director. Manage monthly grant fund drawdowns using local, state, and federal systems. Recommend and implement budget revisions, as needed. Support annual financial audits and suggest improvements to financial processes. Manage purchasing and inventory for office and project materials. Develop expenditure tracking systems and assist staff with reimbursements. Prepare bank deposits and ensure timely payment of organizational expenses. Prepare expenditure summaries for government grants nearing expiration. Monitor staff timesheet compliance and maintain petty cash accounts. Develop workplace efficiency procedures. Salary Range and Benefits : $64,000–$70,000 per year (based on a 32-hour workweek), equivalent to $80,000–$87,500 for a 40-hour/week schedule Flexible 4-day workweek, with 3 days in the office and 1 day remote Paid holidays + vacation and sick time Professional development opportunities Meaningful work advancing health equity, food justice, and community self-determination A background in accounting. Minimum of 3 years of experience managing government grant contracts. Demonstrated experience in accounting and using digital tools to interact with associates, and manage accounts.
